This policy explains what information Hemsjobs.org ("Hemsjobs.org," "we," "us") collects from pilots and visitors, how we use it, and who we share it with. Hemsjobs.org is a job board and pilot-recruiting service for the helicopter and fixed-wing air medical (HEMS/EMS) industry. By using this site, you agree to the practices described here.
Pilot profile / application information. When you create a pilot profile or apply through Hemsjobs.org, we collect information you provide, which may include your name, email address, phone number, base state, flight hour totals (including PIC, turbine, night unaided, NVG, and instrument hours), certificates and ratings, medical certificate status, aircraft experience, career interests, notes, and a resume file if you upload one.
Account information. If you create a pilot login, we store your email address and a securely hashed password.
Newsletter signups. If you subscribe to updates, we store the email address you provide.
Contact form submissions. If you message us through the Contact page, we store your name, email address, and message.
Forum activity. Threads and replies you post in the Pilot Forum, including your display name and post content, are visible publicly on the site.
Technical information. Like most websites, our server automatically logs standard technical information (such as browser type and access times) needed to operate and secure the site. We do not currently use third-party analytics or advertising trackers.
We use the information you provide to operate the job board, maintain your pilot profile and account, respond to messages, send newsletter updates you've signed up for, and support our core service: connecting qualified pilots with air medical operators. As described on our About page, Hemsjobs.org is a free service for pilots — we are compensated by employers through referral and recruiting arrangements when a pilot we refer is hired.
With employers, as part of our referral service. If you submit a pilot profile or application, we may share relevant information from it with partner employers when we believe you may be a good fit for an open position, as part of our recruiting and referral services. We do not sell your information.
Public forum content. Anything you post in the Pilot Forum is visible to other site visitors.
Service providers. We may use third-party services (such as hosting or email delivery providers) solely to operate the site, under obligations to protect your information.
Legal requirements. We may disclose information if required by law or to protect the rights, safety, or property of Hemsjobs.org, our users, or others.
We use a small number of functional cookies — for example, to keep you signed in to your pilot account or the admin dashboard. We do not currently use cookies for advertising or cross-site tracking.
We retain pilot profile, application, and account information for as long as your account is active or as needed to provide our referral services, unless you ask us to delete it sooner.
You can ask us to access, correct, or delete the personal information we hold about you, or to stop receiving newsletter emails, at any time by contacting us at info@hemsjobs.org. Depending on your state of residence, you may have additional rights under laws such as the California Consumer Privacy Act (CCPA); we'll honor applicable requests consistent with those laws.
Hemsjobs.org is intended for licensed and prospective professional pilots and is not directed to children. We do not knowingly collect information from anyone under 18.
We may update this policy from time to time. We'll post the revised version here with an updated effective date.
